# Meeting Minutes
Keeps meeting records in the exact format the society has used since 2022, so the
archive stays consistent and the next handover inherits a clean chain.
## The standard format (from the archived template)

## Two modes
**Prep an agenda (before the meeting):** fill Date, expected Attendees, and the
Agenda checklist. Pull carry-over items from the previous meeting's *Next
Meeting's Agenda* and from open threads in `EA_Society_Memory_File.md`.
**Write up minutes (after the meeting):** from the user's rough notes, produce clean
minutes in the format above. Turn decisions into checked agenda items and
concrete **Action items with an owner and due date**. Keep names; follow
`rules/data_privacy.md` (no need for emails/phone numbers in minutes).
## Save it
- Offer to `Write` the minutes into the current term folder, e.g.
`2026 - 2027/<Term>/Meeting_<n> (<date>).md`, matching the archive's naming.
- If it can go back into Box as a `.boxnote`, note that the `.md` can be pasted in.
- Roll any decision that changes plans into `EA_Society_Memory_File.md`, and put
