# A brief before every external call Before an external meeting, collect the full picture of the person and put it on one phone screen: who they are, every past touch across channels, what is open, why we are talking, three questions. Read-only work: nothing goes out to the other side. ## Why Checking one calendar gives you part of the day. On one day we checked, the personal calendar showed 1 meeting and the work calendar showed 2 more that were missing from the first. On another day a meeting was booked into a slot that was already taken, because the agent could see 2 of 4 calendars. Agreements and last words from the other side often live in email or a messenger, and missing them means walking into the call without them. ## How to apply 1. **Window.** Today plus two days. Read every calendar the person owns: work, personal, and any side company. Merge and dedupe by time and title. A calendar you cannot read gets named in the brief as missing. 2. **Filter.** Keep meetings with an external attendee or an external booking tool. Drop birthdays, out of office, focus blocks, internal and personal events. 3. **Who.** Attendee email domain gives the company. The booking event name is a signal too ("Interview" is a different call from "Intro call"). 4. **Full picture.** For each attendee and company, go through all sources: - call recorder: past meetings by name and company - both inboxes, work first - messengers you have read access to, matched by name only - CRM ca
