# Proposal Writing from Discovery Notes
## When to use this
- After a discovery or sales call with a prospective client, when the firm needs to send a written proposal with pricing.
- When an existing client asks for additional services (adding payroll, moving from annual tax-only to monthly bookkeeping) and deserves an options-based proposal rather than a one-line quote.
- When the firm wants to rework a flat single-price quote into a three-option proposal.
- Not for the engagement letter itself; the proposal wins the work, the engagement letter contracts it.
## What to gather first
Never invent facts about the prospect, the firm, or pricing. Ask for:
1. The discovery-call notes or transcript. This is the raw material; without it, ask the user to describe the prospect's situation, goals, and frustrations in as close to the prospect's own words as possible.
2. Jurisdiction (US, AU, NZ, UK, CA) when it affects wording: GST/VAT treatment of quoted fees, "tax return" vs "self assessment," BAS lodgment as a line item.
3. Prospect facts: business name, entity type, rough size (revenue or transaction volume), current state of the books, who does what today, and the specific pains they voiced ("I never know if I can afford to hire," "my last accountant went quiet every March").
4. What triggered the search for a new accountant or bookkeeper. The trigger is usually the strongest line in the proposal.
